There are many great venues all across the country happy to play host to your meeting or convention. Hospitality is a very competitive industry and each venue will tell you just how perfect they are in meeting your needs. However, the best way to increase your chances of finding the right site is to work with a company that can provide site selection services. How Site Selection Works:

Throughout the term of the planning process, professional meeting planners from Prestige Accommodations are actively researching potential sites for future meetings. This research is conducted following explicit direction from you as to potential cities for future meetings. Prestige Accommodations will, of course, provide you with any input about these potential cities as well as the venues within those cities.

While there are many criteria that we use to determine what cities and/or hotels would make the most sense for your organization, the following is an example of some primary concerns:

  • Cost of hotel
  • Quality and ambiance of the hotel
  • Concessions from the hotel
  • Quality/quantity of meeting space in the hotel
  • Food and beverage capability
  • Ease of access to city
  • Cost of transportation to the city
  • Intra-city transportation availability

Once these determinations have been made, a final report will be made available to you for your ultimate approval of the site and venue. At that time, Prestige Accommodations will move to the next step in the process by negotiating appropriate contracts and provide your organization with a completed contract for your approval and signature. In general then, the following takes place:

  • Provide the client with an analysis of potential destinations for future meetings
  • Locate, inspect and negotiate appropriate meeting and sleeping facilities for future meetings, with particular attention to meeting space, exhibit area, sleeping accommodations and comfortable, affordable ambience
  • Negotiate the best possible price, concessions, and amenities for the meeting and its registrants and protections for our clients
  • Review any existing hotel and venue contracts, and make appropriate recommendations
  • Conduct site inspections with your staff
